What Payroll Settings Does
Payroll Settings is where payroll administrators configure the rules that BoviHR uses before payroll is calculated. These settings affect salary components, payment periods, payslip display, statutory employer data, salary updates, and payroll approvals.
Use Payroll Settings before running payroll for a company, adding new salary structures, or changing how payslips and payroll calculations should behave.
Who Should Use This Screen
Payroll Settings should normally be managed by:
- Payroll administrators
- HR setup administrators
- Finance administrators
- BoviHR implementation or support users
Employees should not normally access Payroll Settings.
Main Tabs In Payroll Settings
The Payroll Settings screen includes these main areas:
- Salary Component
- Salary Groups
- Component History
- Payroll Time Setup
- Payment Frequency
- Additional PF Setup
- Payslip/Invoice Logo
- Country Specific Data
- SA Component Group
- Salary Update
- Payroll Status
Each tab controls a different part of payroll setup. Some settings affect payroll calculation directly. Others affect reports, payslips, approvals, or company setup.
Recommended Setup Order
For a new company, use this order:
- Complete Payroll Time Setup.
- Set up Payment Frequency.
- Add Additional PF Setup if the company uses bi-monthly, monthly cutoff, or special pay dates.
- Add Salary Components.
- Create Salary Groups.
- Complete Country Specific Data.
- Upload the Payslip/Invoice Logo.
- Configure Payroll Status if the company uses approvals.
- Review employee salary profiles before running payroll.
Practical Example
A new company pays employees twice per month, on the 15th and the last day of the month.
The payroll administrator should:
- Set regular working hours in Payroll Time Setup.
- Configure Payment Frequency for semi-monthly payroll.
- Use Additional PF Setup to define the first and second pay dates.
- Create salary components such as Basic Salary, NHI, Social Security, Payroll Tax, and Pension.
- Create a Salary Group for regular employees.
- Assign employees to the correct salary group and payment frequency.
- Run Draft Review or Make Payment only after the setup is complete.
Common Mistakes
- Running payroll before Payment Frequency is configured.
- Creating components without understanding their tax behavior.
- Forgetting Country Specific Data needed for statutory reports.
- Changing salary values without checking salary effective dates.
- Assuming Payroll Status is automatic without configuring approval stages.
