What Additional PF Setup Does

Additional PF Setup is used when a company needs more detailed payment period rules than the basic Payment Frequency setup provides.

It is commonly used for:

  • Bi-monthly payment dates
  • Monthly payment dates
  • Payroll cutoff dates
  • Weekly overtime start dates for certain payroll cycles
  • Special pay period rules

When To Use Additional PF Setup

Use Additional PF Setup when:

  • A company pays employees on the 15th and the last day of the month.
  • Bi-monthly payroll needs different cutoff dates.
  • Monthly payroll needs a specific payment date.
  • Weekly overtime must align with a special payroll cycle.
  • The normal Payment Frequency setup is not detailed enough.

Practical Example: Bi-Monthly Payroll

A company pays:

  • First payroll: 15th of the month
  • Second payroll: Last day of the month

Additional PF Setup can define the two pay dates and the cutoff rules for each period.

This helps payroll users know which time entries, hours, or payroll items belong in each pay run.

Practical Example: Monthly Payroll With Mid-Month Cutoff

A company pays monthly on the last day of the month but wants payroll changes submitted by the 25th.

Additional PF Setup can define the monthly payment date and cutoff date so payroll users have a consistent processing schedule.

Setup Steps

  1. Go to Payroll > Payroll Setting.
  2. Open Additional PF Setup.
  3. Choose the payment frequency type.
  4. Add payment dates or cutoff dates as needed.
  5. Save the setup.
  6. Test the setup by searching a period in Draft Review or Make Payment.

Common Mistakes

  • Setting payment dates but forgetting cutoff dates.
  • Using bi-monthly when the company actually pays bi-weekly.
  • Not testing the configured dates before the first payroll run.
  • Changing dates after payroll items have already been created for a period.
