How does multiple overtime approval work?
-- How to create an overtime approval flow:
First, log in to the company account.
Then, click on "Organization" from the left-hand menu – a submenu will open below.
Click on the "Flow (new)" menu item.
After that, a page will open as shown in the image below.
Click on "Overtime Approval", then click the "Add" button.
On the form, fill in the following fields:
Workflow Title
Overtime Approval Type
Sequence Approval (Chain)
Simultaneous Approval
Approval Needed:
At least one
All persons
Select "Who Gets the First Notification"
(This person will receive an email notification):
Manager (Department Head)
Manager’s Manager
Account User (Employee who submits)
Specific Person
Employee Role
Admin
If you want to send more email notifications, click the "Add More" button.
Then, you see the option "Who Gets the Next Notification"
(This person will also receive an email notification):
Manager (Department Head)
Manager’s Manager
Account User (Employee who submits)
Specific Person
Employee Role
Admin
you can choose the type of approval process you want, such as:
Sequence Approval (Chain)
Simultaneous Approval
For Simultaneous Approval, there are two sub-options:
At least one
All persons
The system will work according to the option you select. For example, if you select 'Sequence Approval (Chain)', it will function as follows:
In the first step, all the people you selected under 'Who Gets the First Notification' will receive an email.
Once those people approve the overtime request, the next group (as defined under 'Who Gets Next Notification') will receive an email.
Finally, the status of the overtime request — whether 'Approved', 'Rejected', or 'Pending' — will be determined based on the number of approvals, rejections, or pending responses received
In the Simultaneous Approval method, all selected approvers receive the approval request at the same time (in parallel). This method does not follow a step-by-step sequence — instead, all approvers are notified simultaneously. There are two options available under this method:
At Least One:
The overtime request will be considered approved as soon as any one of the approvers approves it. This is useful when approval from a single authorized person is sufficient.
All Persons:
The overtime request will be considered approved only if all selected approvers approve it. If even one person rejects or does not respond, the final status may be set as rejected or pending accordingly.
→ This overtime approval flow can be used by going to the "Employee" section from the left menu. Click the edit icon for any employee, and then:
→ You will see a screen like this, where you can go to the "Other Options" section. Based on your requirements, you can select the overtime approval flow that you have previously added.
The approval process will work according to the selected overtime approval flow.
Note: Only the most recently added approval flow will be used.
→This overtime approval flow can be used by going to the "Organization" section from the left menu, then selecting the "Department" menu. Click the edit icon for any department, and then:
You will see a screen like this, where you can go to down. Based on your requirements, you can select the overtime approval flow that you have previously added.
The approval process will work according to the selected overtime approval flow.
→ Once all the above setup is completed, let’s move to the next step.
You can access this by going to the "Attendance" section from the left menu and clicking on the sub-menu "Overtime Request".
You will see a screen similar to the image shown below.
→ When you click on the "Add New" button (as shown in the image), a modal will open like the one shown below.The overtime approval flow will function according to the employee’s assigned flow — either from the employee's "Other Options" or the department-level flow if set
After adding the request, you can click the "Edit" button to view the approval status — showing who has marked the request as "Pending", "Accepted", or "Rejected".
