What Payment Frequency Does
Payment Frequency defines how often employees are paid and how BoviHR should understand pay periods.
Common examples:
- Weekly
- Bi-weekly
- Semi-monthly
- Monthly
- Daily or custom periods, where enabled
Payment Frequency is important because Make Payment and payroll reports depend on the correct period dates.
Payment Period Vs Payment Date
The payment period is the date range being paid.
The payment date is the date the employee is paid.
These are not always the same.
Example:
- Pay period: January 1 to January 15
- Payment date: January 16
Payroll users should search the correct period and confirm the payment date before making payments.
When To Use Payment Frequency
Use Payment Frequency when:
- Setting up a new company.
- Adding a new payroll cycle.
- Correcting pay period boundaries.
- Preparing employees for payroll assignment.
- Troubleshooting why an employee does not appear in Make Payment.
Setup Steps
- Go to Payroll > Payroll Setting.
- Open Payment Frequency.
- Select the frequency type.
- Enter or review the relevant date setup.
- Save the frequency.
- Confirm employee profiles use the correct payment frequency.
Practical Example: Semi-Monthly Payroll
A company pays employees twice a month:
- First period: 1st to 15th
- Second period: 16th to last day of month
The payment frequency should be configured so employees assigned to that frequency appear in the correct Make Payment search periods.
If the first period is January 1 to January 15 and payment is made January 16, payroll users should search the period that matches the configured range.
Practical Example: Employee Missing From Payroll Search
If an employee is missing from Make Payment, check:
- Does the employee have a payment frequency?
- Is the employee active?
- Does the payment frequency match the search period?
- Does the employee have a valid joining date?
Common Mistakes
- Searching a date range that does not match the configured payment frequency.
- Forgetting to assign payment frequency on the employee profile.
- Confusing semi-monthly and bi-weekly payroll.
- Using the payment date as the full pay period.
