1. Preparing the Employee FileFor each employee, navigate to the Country Specific Tab.
2. Enter Required Fields:
- TIN Number: Enter the employee's TIN number.
- Occupation: Copy and paste the closest matching occupation from the provided list.
- Establishment: Copy and paste the exact Enterprise Name from the IRD account.
3.Optional Address Fields:
- Street Name: Enter the employee's street name.
- Door Number: Enter the door number.
- Po Box: Enter the P.O. Box number.
- Parcel Number: Enter the parcel number.
- Unit Number: Enter the unit number.
- Resident: Enter if applicable.
4.Village:
This field is required. Select the closest location to the employee from the drop-down list.
5. Senior Management:
Indicate if the employee is a Senior Manager.
Exporting the Employee Data
Export to CSV:
Go to the Employee section.
- Click on Export.
- A CSV file will be created and downloaded to your computer. No edits are needed to this file.
Uploading the CSV to the E-filing Portal
Login:
- Login to the E-filing Portal.
Add Employees:
- Select Add Employees.
Upload CSV:
- Select Upload CSV.
- Choose the name of the Enterprise.
- Select the CSV file.
- Click on Upload.
Once the above options are followed, all employees should be successfully added.
Troubleshooting
- If there is an error (e.g., an unrecognized TIN), the system will highlight errors in a red error box at the top right.
- Ensure the employee is registered with the e-filing system before attempting to import.
- Note: The system currently does not allow for adding a single new employee if all existing employees have been added already. This feature is under development.
